Weddings play out in garden spaces and hotel ballrooms, from the Orangerie at Cheyenne Botanic Gardens to the event floors at Little America. And the corporate party season that starts in October runs through company parties, energy sector gatherings, and community galas across Southeast Wyoming.

Most booking problems are logistics problems, and they surface late. Here is what every CaptureME setup needs. Send us your venue name when you book and we will check it against this list for you, rather than finding out on load-in day.
Power, and it is the same for every booth
Every booth we run needs the same thing: a dedicated 3-prong, 110V, 10-amp outlet within 25 feet. Dedicated is the operative word. It has to be a circuit nothing else is pulling from, which is not something you can tell by looking at the wall. If you are booking a garden venue, a hotel ballroom, or an event barn, this is the one to raise with your venue first. They will know.
Floor space, which changes by experience
Print Photo Booth and Glam Booth: 10×10 ft without props, 12×12 with a prop table, 9 ft ceiling, and a wall to place the backdrop against. AI Draw ME Bot and AI Headshot Booth: 10×10 ft minimum. Trading Card Photo Booth: 12×12 ft, 9 ft ceiling. Keychain Photo Booth: 12×12 ft, 9 ft ceiling, plus room for the production table. 360 Photo Booth: 14×16 ft. Vogue Booth: about 15×15 ft. Event Roamer: none at all. The booths are built for indoor placement on a solid, level surface, and any outdoor setup has to be approved in advance and isn’t guaranteed. The backdrop-against-a-wall requirement is the one that most often rules out a room that otherwise looked fine.
Cheyenne venues run on the clock, so the drive has to fit it
Cheyenne is about an hour from our door, which makes timing the first thing to settle. Cheyenne Botanic Gardens on South Lions Park Drive rents its spaces in set time blocks, does not allow entry before your block starts, and keeps every vendor on site between 8 a.m. and 10 p.m. Decor has to be free-standing, and setup decisions are due seven days before the event. Our setup and teardown fall outside your contracted service time, but at a venue like that they still have to fit inside your rental block, so book the block long enough to cover setup before guests arrive and tell us the start time early. Little America Hotel on West Lincolnway is the other end of the scale, with 50,000 square feet of indoor and outdoor event space, where the question is which room and where the power lands, not whether we fit. For the outdoor spaces at either one, the Event Roamer is the experience with no footprint and no power requirement. Send us the venue and the room name with your inquiry and we will build the day around the venue’s clock.
Timing
When to Book in Cheyenne
Cheyenne has one stretch that outweighs everything else on the calendar.
The end of July. Cheyenne Frontier Days runs ten days at the end of July, often into the first days of August, with the Grand Parade on four of those mornings and the rodeo, carnival, and Frontier Nights shows at Frontier Park. A date inside that window is competing with the city’s signature week, so if your event falls in it, ask early.
Outdoor garden dates. Cheyenne Botanic Gardens notes that outdoor availability shifts with its maintenance and planting schedule, and rental fees are not refunded for weather. Backup indoor space has to be rented in advance, and the call to move inside is due four hours before the event. Plan the Event Roamer for the outdoor version and a booth for the indoor backup, and both are covered.
October through December. This is our busiest run of the year across the whole business, driven by company parties and a wedding season that now stretches later than it used to.
Travel is the other thing to settle early. Cheyenne sits outside our included 40-mile radius from Windsor, so send the venue address with your first inquiry and travel goes into the proposal from the start instead of getting revised after you have circulated it.
For a date in any of those windows, book six to twelve months out. Outside them, two to three months is usually enough. Last-minute availability does happen, so it is worth asking either way.

Cheyenne sits about fifty miles north of our Windsor base, outside our included travel area, which is a 40-mile one-way radius from Windsor, Colorado, so a Cheyenne booking carries a travel charge. Send your venue address with your first inquiry and we will build travel into the proposal from the start instead of revising it later.

Cancellation terms are outlined in the CaptureME service agreement and may vary depending on the timing of the cancellation and the services reserved. Because event dates are held specifically for each client once booked, the non-refundable booking fee is not returned. Clients should review the full cancellation terms in the service agreement before booking.
We recommend booking your photo booth 6–12 months in advance, especially for weddings, holiday parties, and events during peak seasons. For smaller events or off-season dates, 2–3 months ahead may be enough. Last-minute availability is sometimes possible, so feel free to contact us even if your event is coming up soon!
Many events book 3–4 hours depending on the timeline, guest count, event type, and when guest interaction will be strongest. Weddings often benefit from 4 hours because of cocktail hour, dinner, formalities, and open dancing. Corporate events, conferences, trade shows, and brand activations may require longer coverage depending on expected guest flow and activation goals.
Photo booth setups require a flat, level indoor space with access to standard power. A 12×12 ft area is recommended for setups with props so there is room for the booth, backdrop, lighting, prop table, and guest interaction. A 10×10 ft area may be sufficient for setups without props, depending on the selected experience. Outdoor placement is limited and must be reviewed in advance based on coverage, weather protection, surface, temperature, power access, and equipment safety.
