The wedding market runs on its own terms too, across downtown hotels, converted industrial space, and historic buildings that each come with their own load-in rules. And the company party season that starts in October is our busiest run of the year.

Most booking problems are logistics problems, and they surface late. Here is what every CaptureME setup needs. Send us your venue name when you book and we will check it against this list for you, rather than finding out on load-in day.
Power, and it is the same for every booth
Every booth we run needs the same thing: a dedicated 3-prong, 110V, 10-amp outlet within 25 feet. Dedicated is the operative word. It has to be a circuit nothing else is pulling from, which is not something you can tell by looking at the wall. If you are booking a downtown hotel, a converted warehouse, or a historic building, this is the one to raise with your venue first. They will know.
Floor space, which changes by experience
Print Photo Booth and Glam Booth: 10×10 ft without props, 12×12 with a prop table, 9 ft ceiling, and a wall to place the backdrop against. AI Draw ME Bot and AI Headshot Booth: 10×10 ft minimum. Trading Card Photo Booth: 12×12 ft, 9 ft ceiling. Keychain Photo Booth: 12×12 ft, 9 ft ceiling, plus room for the production table. 360 Photo Booth: 14×16 ft. Vogue Booth: about 15×15 ft. Event Roamer: none at all. The booths are built for indoor placement on a solid, level surface, and any outdoor setup has to be approved in advance and isn’t guaranteed. The backdrop-against-a-wall requirement is the one that most often rules out a room that otherwise looked fine.
Denver venues, and what they will and will not allow
Denver couples and event planners are usually choosing among venue types that are far more common here than further north. Downtown hotels and the convention center, where union labor rules and dock or freight-elevator schedules can set your load-in. Converted warehouse and industrial space with power laid out for the building’s old job, not for yours. Historic buildings with firm rules about what can be placed where. Those constraints come up more often here than anywhere else we work. Every booth needs that dedicated outlet within 25 feet and is built for indoor placement on a solid, level surface, print-based setups need the backdrop against a wall, and the 360 Photo Booth needs roughly 14 by 16 feet, one of the largest footprints we run. If the floor plan will not give up that space, the Event Roamer works differently: a photographer moves through the room with a compact mobile setup instead of taking a corner. Confirm the outlet location and the footprint with your coordinator before you sign, not after. Send us the venue with your inquiry and we will flag anything worth resolving early.
Timing
When to Book in Denver
Denver is the one city on our map where the calendar matters less than the load-in.
Everywhere else, you are booking around a season. Here you are booking around a building. At the Colorado Convention Center, union labor handles anything that rolls in on a dolly or cart, and downtown hotels often want the dock or freight elevator reserved in advance. Conference and trade show activations live inside the show’s own move-in and move-out schedule, so your booth window is set by show hours, not by you. Converted warehouse and historic spaces need placement signed off before anyone rolls a case through the door. None of that moves quickly, and none of it gets sorted out the week of.
Travel is the other thing to settle early. Denver sits outside our included 40-mile radius from Windsor, so send the venue address with your first inquiry and travel goes into the proposal from the start instead of getting revised after you have circulated it.
October through December. The busiest season here is the same one we see everywhere: company parties and a wedding season that now stretches later than it used to make this our busiest run of the year.
For a fall or winter date, book six to twelve months out. For anything at a hotel, a convention space, or a historic building, work backward from your venue’s load-in requirements rather than from the date itself, and start that conversation as early as you can. Last-minute availability does happen, so it is worth asking either way.

Denver sits outside our included travel area, which is a 40-mile one-way radius from Windsor, Colorado, so a Denver booking carries a travel charge. Send your venue address with your first inquiry and we will build travel into the proposal from the start instead of revising it later.

Cancellation terms are outlined in the CaptureME service agreement and may vary depending on the timing of the cancellation and the services reserved. Because event dates are held specifically for each client once booked, the non-refundable booking fee is not returned. Clients should review the full cancellation terms in the service agreement before booking.
We recommend booking your photo booth 6–12 months in advance, especially for weddings, holiday parties, and events during peak seasons. For smaller events or off-season dates, 2–3 months ahead may be enough. Last-minute availability is sometimes possible, so feel free to contact us even if your event is coming up soon!
Many events book 3–4 hours depending on the timeline, guest count, event type, and when guest interaction will be strongest. Weddings often benefit from 4 hours because of cocktail hour, dinner, formalities, and open dancing. Corporate events, conferences, trade shows, and brand activations may require longer coverage depending on expected guest flow and activation goals.
Photo booth setups require a flat, level indoor space with access to standard power. A 12×12 ft area is recommended for setups with props so there is room for the booth, backdrop, lighting, prop table, and guest interaction. A 10×10 ft area may be sufficient for setups without props, depending on the selected experience. Outdoor placement is limited and must be reviewed in advance based on coverage, weather protection, surface, temperature, power access, and equipment safety.
