What are the setup requirements for a photo booth?

Photo booth setups require a flat, level indoor space with access to standard power. A 12x12 ft area is recommended for setups with props so there is room for the booth, backdrop, lighting, prop table, and guest interaction. A 10x10 ft area may be sufficient for setups without props, depending on the selected experience. Outdoor placement is limited and must be reviewed in advance based on coverage, weather protection, surface, temperature, power access, and equipment safety.

Q: How far in advance should we book a photo booth rental?

We recommend booking your photo booth 6–12 months in advance, especially for weddings, holiday parties, and events during peak seasons. For smaller events or off-season dates, 2–3 months ahead may be enough. Last-minute availability is sometimes possible, so feel free to contact us even if your event is coming up soon!

The busy season follows the park, from late May into October, and the elk rut fills September and October with bugling bulls in the meadows. The venues are built for destination weddings and full wedding weekends: Della Terra Mountain Chateau, Black Canyon Inn, and YMCA of the Rockies all pair lodging with ceremony and reception space, so guests stay on for the welcome party, the reception, and the morning after. And the same lodge and resort settings host corporate retreats and leadership gatherings.

We are based in Windsor, about 43 miles east of downtown Estes Park and roughly an hour and twenty minutes by road. That puts Estes Park right at the edge of our included 40-mile radius, so travel depends on your venue address and we confirm it in the proposal.

Most booking problems are logistics problems, and they surface late. Here is what every CaptureME setup needs. Send us your venue name when you book and we will check it against this list for you, rather than finding out on load-in day.

Power, and it is the same for every booth

Every booth we run needs the same thing: a dedicated 3-prong, 110V, 10-amp outlet within 25 feet. Dedicated is the operative word. It has to be a circuit nothing else is pulling from, which is not something you can tell by looking at the wall. If you are booking a mountain lodge, a cabin property, or a historic inn, this is the one to raise with your venue first. They will know.

Floor space, which changes by experience

Print Photo Booth and Glam Booth: 10×10 ft without props, 12×12 with a prop table, 9 ft ceiling, and a wall to place the backdrop against. AI Draw ME Bot and AI Headshot Booth: 10×10 ft minimum. Trading Card Photo Booth: 12×12 ft, 9 ft ceiling. Keychain Photo Booth: 12×12 ft, 9 ft ceiling, plus room for the production table. 360 Photo Booth: 14×16 ft. Vogue Booth: about 15×15 ft. Event Roamer: none at all. The booths are built for indoor placement on a solid, level surface, and any outdoor setup has to be approved in advance and isn’t guaranteed. The backdrop-against-a-wall requirement is the one that most often rules out a room that otherwise looked fine.

Estes Park weddings happen at 7,522 feet, and usually in two places

The venues here are built for a day split between a mountain view and a room. Della Terra Mountain Chateau on Fall River Road pairs an outdoor Mountain Vista ceremony area with an indoor Chateau reception hall. Black Canyon Inn on MacGregor Avenue offers indoor and outdoor ceremony locations and reception spaces for 20 to 200 guests. Ceremony outside, reception inside, and the indoor room is where a booth-based experience goes. Weather is the reason to keep it that way. The National Park Service says lightning is common in the park from June through September and that most thunderstorm activity in the high country comes after noon, which is when a lot of ceremonies start. Inside Rocky Mountain National Park the rules get tighter still: a ceremony needs a Special Use Permit, can only happen at one of the park’s thirteen designated sites (not all of them open year-round), is capped at 30 people or fewer depending on the site, counts photographers in that number, and restricts generators and tables. A staffed booth does not fit that. The Event Roamer comes closest, with no footprint and no power. Count our attendant toward your headcount, and confirm with the park’s permit office that a vendor is covered under your permit. Send us the venue and the ceremony site and we will map the day.

Timing

When to Book in Estes Park

Estes Park’s calendar is set by the national park next door and by the elk.

Late May through mid-October. Rocky Mountain National Park runs its timed entry reservation system from late May into mid-October, for most daytime entry, with longer hours on the Bear Lake Road corridor. Wedding weekend guests who plan to see the park need reservations of their own. If you want the ceremony inside the park itself, the Park Service starts accepting Special Use Permit applications a year ahead, and popular months fill.

September and early October. The Park Service puts the elk rut from mid-September to mid-October. Elk Fest takes over Bond Park and the Estes Park Events Complex in October, and the Longs Peak Scottish-Irish Highland Festival takes the weekend after Labor Day. A wedding weekend that overlaps either one shares the town with it.

October through December. This is our busiest run of the year across the whole business, driven by company parties and a wedding season that now stretches later than it used to. In Estes Park the front of it overlaps elk season, so early October goes first.

Travel is the other thing to settle early. Estes Park sits right at the edge of our included 40-mile radius from Windsor, so send the venue address with your first inquiry and we will confirm travel in the proposal from the start.

For a date in any of those windows, book six to twelve months out. Outside them, two to three months is usually enough. Last-minute availability does happen, so it is worth asking either way.

We used Capture Me Photo Booth for Josh and Anja’s wedding, and I am so glad we did! We had the Photo Booth, 360 Video Booth, and Audio Guest Book, and all three added something completely different and special to the celebration.

The 360 Video Booth was an absolute BLAST! Our guests had so much fun with it, and the videos are such a great way to relive all the laughter, dancing, and personalities from the night. The Photo Booth was a huge hit as well, and I absolutely LOVE that we now have all those fun pictures and memories to look back on.

The Audio Guest Book may be one of my favorite keepsakes. There is something so special about being able to actually hear the voices, laughter, stories, and messages from the people who celebrated with Josh and Anja. Those recordings are something they will be able to treasure for years to come. ❤️

Photo booth rentals include professional staffing, setup and teardown outside contracted service time, booth equipment, digital sharing, and post-event gallery access. Print-based experiences include on-site prints, and select experiences may include branded overlays, custom templates, microsite branding, AI-generated output, custom trading cards, keychains, or other service-specific features depending on the experience selected.

A non-refundable booking fee is the initial payment required to secure your event date. For CaptureME Photo Booth, this fee is 30% of the total service investment and is due along with a signed service agreement at the time of booking. Once completed, your date is reserved and removed from our availability calendar. This amount is applied toward your total balance.

Yes. We travel to Estes Park and the surrounding mountain communities for weddings, corporate retreats, private events, and brand activations. Downtown Estes Park sits about 43 miles from our Windsor base, right at the edge of our included travel area, which is a 40-mile one-way radius from Windsor, Colorado. Whether a booking carries a travel charge depends on the venue address, and some venues on the west side of town measure closer to 48 miles. Send the address with your first inquiry and we will confirm travel in the proposal instead of revising it later.

A proposal is a pricing and service summary prepared based on the event details provided at the time of inquiry. It outlines the experience discussed, estimated investment, and included services, but it does not reserve the date. Event dates are only secured once the signed service agreement and non-refundable booking fee are completed.

Cancellation terms are outlined in the CaptureME service agreement and may vary depending on the timing of the cancellation and the services reserved. Because event dates are held specifically for each client once booked, the non-refundable booking fee is not returned. Clients should review the full cancellation terms in the service agreement before booking.

We recommend booking your photo booth 6–12 months in advance, especially for weddings, holiday parties, and events during peak seasons. For smaller events or off-season dates, 2–3 months ahead may be enough. Last-minute availability is sometimes possible, so feel free to contact us even if your event is coming up soon!

Many events book 3–4 hours depending on the timeline, guest count, event type, and when guest interaction will be strongest. Weddings often benefit from 4 hours because of cocktail hour, dinner, formalities, and open dancing. Corporate events, conferences, trade shows, and brand activations may require longer coverage depending on expected guest flow and activation goals.

Photo booth setups require a flat, level indoor space with access to standard power. A 12×12 ft area is recommended for setups with props so there is room for the booth, backdrop, lighting, prop table, and guest interaction. A 10×10 ft area may be sufficient for setups without props, depending on the selected experience. Outdoor placement is limited and must be reviewed in advance based on coverage, weather protection, surface, temperature, power access, and equipment safety.
